Registration and Delegate Terms and Conditions

Hello Partner Events (PI LIVE Europe, CreatorFest, Awards, Conferences, Retreats)

These Terms and Conditions (“Terms”) apply to all registrations for events organised by Existem Events Ltd t/a Hello Partner (“Existem”, “we”, “us”). By registering for an event, you agree to be bound by these Terms.

1. Contract Status

Your registration and these Terms form the entire agreement between you and Existem regarding your attendance at the event. This agreement overrides any prior discussions or representations.

2. Payment

All fees must be paid in full prior to the event. Existem reserves the right to cancel any unpaid registration without notice.

3. Passes & Substitutions

  • Passes are personal and may not be shared or swapped.

  • You may transfer your pass free of charge to a colleague from the same organisation up to 14 days before the event. Please contact the Events Team to arrange.

  • Badge swapping at the event is strictly prohibited and may result in exclusion from future events.

4. Complimentary & Sponsored Passes

  • Complimentary passes are subject to our fair use policy: a maximum of two passes per advertiser or publisher. Subsidiaries are included in this allocation.

  • Complimentary passes are not available to agencies, technology companies, SaaS providers, or networks.

  • If you accept a complimentary pass and fail to attend without prior notice, you may be charged the full ticket price and may not be eligible for future complimentary passes.

5. Cancellations & Refunds

As a business-to-business event, statutory consumer cooling-off rights do not apply.

  • All registrations are binding. No refunds will be issued under any circumstances.

  • Substitutions may be made as outlined in Section 3.

6. Event Changes & Cancellation

Existem may alter the event format, programme, venue, or timing where reasonably necessary. Where the event remains substantially similar, no refund or credit shall be due.

If the event is cancelled in full, you may apply your fee as credit towards another Existem event within 12 months. Existem accepts no further liability for costs incurred.

7. Conduct & Code of Conduct

All delegates, exhibitors, sponsors, speakers, and staff must comply with the Hello Partner Code of Conduct and any venue regulations. Breaches may result in removal without refund or liability.

This includes but is not limited to:

  • Harassment, discrimination, intimidation, or disruptive conduct

  • Substance abuse or irresponsible alcohol consumption

  • Outboarding (hosting unsanctioned events) without organiser approval

  • Suitcasing (unauthorised sales or promotion outside sanctioned areas)

8. Data Protection

We comply with UK data protection law. Delegate information may be used for event administration, networking tools, and (where consent is given) marketing.

  • If your badge is scanned, your details will be shared with that exhibitor or sponsor.

  • Delegate lists may be shared within the event platform for networking purposes.

  • Full details are set out in our Privacy Policy.

9. Liability, Insurance & Advice

  • Attendance is at your own risk. Existem accepts no liability for loss or damage to personal property, or for indirect or consequential losses.

  • Our total liability is limited to the amount paid for your pass.

  • Delegates are advised to arrange their own insurance to cover travel, accommodation, and any other costs in case of disruption.

  • Content delivered at our events (including keynotes, panels, workshops, and networking discussions) is for general information only. It does not constitute business, financial, legal, medical, or other professional advice. Delegates remain solely responsible for any decisions made based on information gained at the event.

10. Force Majeure

Existem shall not be liable for any delay or cancellation caused by circumstances beyond its reasonable control, including but not limited to strikes, terrorism, government restrictions, pandemics, or acts of God.

11. General

  • These Terms are governed by English law and subject to the exclusive jurisdiction of the English courts.

  • No variation of these Terms is valid unless agreed in writing by Existem.

  • No person other than the parties to this agreement shall have any rights under it.
